🏗️How You’ll Keep the Operation Moving

▸ Operations & Process Management: Follow and continuously improve SOPs to streamline workflows, keep the team running efficiently, and flag opportunities to do it even better

▸ Financial Administration: Support budget and bid prep, monitor expenses and reimbursements, process invoices accurately, and assist with vendor payment management

▸ Records & Data Management: Maintain accurate, current employee records and organizational databases so the right information is always available to the right people

▸ Scheduling & Internal Communications: Coordinate meetings, travel arrangements, and day-to-day communications across the Logistics team — keeping everyone aligned and nothing falling through the cracks

▸ Payroll & HR Support: Provide hands-on administrative support for payroll processing, reimbursements, and other HR or project-specific needs as they arise

▸ Team & Document Support: Handle incoming paperwork, manage team member records, and serve as a reliable resource for the Logistics department’s daily administrative needs


🧱The Foundation You Already Have

You don’t need a perfect resume — you need the drive, the bilingual fluency, and the ability to keep things moving when it gets busy.

▸ High School Diploma or GED required; Bachelor’s Degree or equivalent preferred

▸ Bilingual fluency in English and Spanish — written and verbal, both required

▸ Strong verbal and written communication skills across a wide range of stakeholders

▸ Excellent organizational and time-management skills; comfortable managing multiple priorities at once without letting details slip

▸ Analytical mindset — you can evaluate a process, identify what’s breaking, and come back with a fix

▸ Proficiency in Microsoft Office (Word, Excel, Outlook); quick to pick up new software and platforms

▸ Collaborative team player with strong interpersonal skills at every level of the org

▸ Valid driver’s license required

▸ Available for 50+ hours per week including weekends; able to travel with short notice


👍Bonus Points If You Have These

▸ Prior experience in logistics, operations, events, or construction environments

▸ Familiarity with scheduling or project management tools (Monday.com, Asana, or similar)

▸ Experience supporting a field-based or traveling team — you already understand this world’s pace and demands
